When we process personal data on behalf of a clinic customer, we generally act as a processor and the clinic acts as the controller for patient, owner, and staff records stored in the Service. This policy also covers data we process as a controller—for example, account registration, billing, security logs, and product analytics.

Account and profile data: name, email address, role, organization and clinic associations, authentication credentials (stored hashed), and preferences you set in the Service.

Clinical and CRM data entered by your organization: owner and pet records, appointments, clinical notes, prescriptions, invoices, attachments, and communications your team chooses to store in the platform.

Billing and subscription data: plan selection, payment references from our payment provider, and billing profile details supplied by tenant administrators.

Technical and security data: IP address, device and browser type, request timestamps, audit events, and error diagnostics needed to operate and secure the Service.

Product analytics (with consent): usage events collected via PostHog Cloud EU when you accept analytics cookies on the website or authenticated app.

We use personal data to provide, maintain, and improve the Service; authenticate users; enforce access controls; process subscriptions; respond to support requests; detect abuse and security incidents; and comply with legal obligations.

We do not sell personal data. We do not use clinical records entered by clinics for unrelated advertising.

Where we act as controller, we rely on: performance of a contract (providing the Service you signed up for); legitimate interests (security, fraud prevention, product improvement where balanced against your rights); consent (non-essential cookies and optional analytics); and legal obligation where applicable.

Clinics determine their own legal bases when entering owner and patient data as controllers. We process that data only according to our agreement with the clinic and documented instructions.

We share data with infrastructure and service providers that help us run the platform—for example hosting, email delivery, payment processing, file storage, and EU-based analytics—under contracts that require appropriate safeguards.

We may disclose data if required by law, to protect rights and safety, or in connection with a merger or acquisition with notice where required.

We primarily store and process data in the European Union. If data is transferred outside the EU/EEA, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.

We retain account and billing records for as long as your organization maintains an active relationship with us and for a limited period afterward to meet legal, tax, and security requirements.

Clinical and CRM data retention is configured by the clinic customer and our platform retention policies. Erasure requests initiated by authorized staff or platform administrators are executed according to our data privacy procedures.

Depending on your location, you may have rights to access, rectify, erase, restrict, or object to processing, and to data portability. Where processing is based on consent, you may withdraw consent at any time without affecting prior lawful processing.

Clinic staff and administrators should contact their organization for records the clinic controls. You may also contact us at privacy@vetsaround.com. You have the right to lodge a complaint with your local supervisory authority.

We use necessary cookies and similar technologies for authentication, session management, and security. These cannot be disabled while using the Service.

With your consent, we use analytics cookies through PostHog Cloud EU to understand product usage. You can accept, reject, or change preferences via the cookie banner. Rejecting analytics does not affect core functionality.

We implement technical and organizational measures appropriate to the risk, including encryption in transit, access controls, role-based permissions, and audit logging. No method of transmission or storage is completely secure; we continuously work to protect the Service.

The Service is intended for use by clinics and adults acting in a professional capacity. We do not knowingly collect personal data directly from children. Pet owner contact details may be stored by clinics as part of veterinary care records.

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated through the Service or by email where appropriate.
